To learn more about us, please visit us at Pharmacyclics is seeking a Program Manager, Medical Affairs Operations Summary: Oversees the operation and management of Pharmacyclics Grants program which includes charitable contributions, sponsorships, independent medical education and non-medical grants. This contributor will be responsible for managing the review process, grants management system and related activities which can include but is not limited to internal/external stakeholder engagement and communication, lifecycle grant management, reporting, budget management, compliance adherence and process improvement. This position participates in developing, interpreting, training and implementing policies and procedures for the program, management system and collaboration partner. This individual may manage, develop, and train staff in the department ensuring employee conformance to established policies and practices. The role will also be a process expert and own the contracts process for Medical Education, Sponsorship, Patient Advocacy and Professional Societies in collaboration with legal. This individual will be expected to audit our supported programs which would include travel. Other duties related to Alliance coordination with our collaboration partner may be assigned. Responsibilities:

  • Oversee operational management of grants program, systems, and services
  • Lead program development/harmonization, implementation, modifications and optimization, including alignment of processes and systems to the requirements of US Medical Affairs, Legal and Compliance.
  • Manage system vendors, address and implement team requirements and provide training
  • Engage and communicate clearly and concisely with external and internal stakeholders, regarding all aspects of the grants program
  • Lead and organize the cross-functional Grants Review Committee and alignment calls with our collaboration partner
  • Manage the grant review process, including reviewing submissions for completeness, ensuring timely review of proposals and ensuring appropriate and efficient follow-up of committee action items and decisions
  • Monitor and report progress and outcomes of grant activity against proposed timelines to internal stakeholders
  • Interact directly with external grant requestors to ensure compliance with internal policies, global and local healthcare laws
  • Manage grants from approval to closeout including reconciling the grant budgets in accordance with internal policy timelines
  • Partner with legal colleagues to facilitate the efficient creation and execution of contracts
  • Manage and track program budget, including monthly grant accruals with Finance Department
  • Support definition and management of procedures, communication and training for relevant grant programs
  • Focus on continuous improvement for lifecycle grant management, identify areas for process improvement, propose changes, and participate in implementation as appropriate
  • Stay informed of applicable governmental compliance laws and industry standards for Independent Medical Education and medical sponsorship
  • Establish and manage project timelines, implement a metric to measure grant outcomes, key learnings to grant recipients
  • Participate in the development, review and implementation of departmental SOPs and processes
  • Independently manages interactions with external vendors regarding submitted or ongoing grants
  • Partner with other internal and partner groups to achieve deliverables
  • Manage alliance ShareFile site and upkeep and internal SharePoint site
  • Perform project management support for projects with our collaboration partners
  • Perform other duties as assigned Qualifications:
    • Demonstrated experience in managing multiple projects
    • Experience in oncology preferred
    • Ability to exercise independent judgment within generally defined practices and policies that lead to processes for achieving results
    • Excellent organization and planning skills
    • Strong interpersonal skills and communication skills (both written and oral)
    • Ability to problem solve and delegate appropriate tasks to collaborators and follow-up as needed to meet deadlines
    • Self-motivated, adaptable to a dynamic environment
    • Able to collaborate effectively with cross-functional team members, and external partners
    • Proficiency in MS Outlook, Word, Excel and PowerPoint, database management
      • 2+ years of relevant experience
      • Experience in pharmaceutical/biotech
      • Experience coordinating multiple teams and projects a plus
      • Minimal travel may be required, up to 20%
      • BA/BS required Abilities: On a continuous basis, sit at desk for prolonged period of time at company facility to intermittently answer telephone, file, fax, or copy documents, and write or use a keyboard to communicate through written means. Walking and lifting up to 20 pounds may be required. The noise level in the work environment is usually low to moderate.
