Primary Function of Position: To manage and lead a team for the delivery of successful projects on time and within budget. Roles & Responsibilities: Oversee and manage construction projects from inception to completion. Planning, managing relationships and conflicts, risk assessment and mitigation. Communication with stakeholders. Exuding a positive and energetic environment for overall team comradery. Primary Function of Position Construction Project Manager * Responsible for overseeing design and construction of Intuitive's manufacturing facilities, labs, CER's, offices, and tenant improvements. * Full responsibility from preconstruction through project closeout. * Includes occupancy planning and employee relocation in coordination with the Facilities, Space Planning, IT, Security, and Move Management teams. * Experience leading project teams for an owner in each project phase with oversight responsibility for design, programming, construction, and closeout. * Construction management experience leading teams on small projects through large-scale campus projects. * Manage and improve the construction safety program: * Include reviews of contractor TCIR reporting. * Manage the quarterly TCIR KPI's to maintain less than 50% of the national construction average. * Manage the construction spending to within 5% of the quarterly forecasts. * Include quarterly reporting and forecasts with S-curve and bell-curve analytics. * Manage risk-assessment analysis of each project and its potential impact to operations, schedules, scopes, and finances. * Direct the project management, construction management, and design development teams on each project. * Sets team goals, lays out vision and is accountable for group performance as well as cross-collaboration with company stakeholders. * Manage the application of local, state, federal regulations: building, mechanical, electrical, plumbing, fire protection, OSHA, LEED, Cal-Green, and ADA. * Manage the work in AutoCAD Revit, Procore, and BIM modeling. * Work in SAP, MS Office (Word, Excel, PowerPoint, MS Project), Power BI, and Tableau. * Manage construction documents - all disciplines - architectural, mechanical, electrical, plumbing, structural, life safety, civil and site. * Provide analytical reporting using dashboards, monthly, quarterly, and annually. * Participate in annual operating plans, add projects to OneList, and long-term operating plans. * Lead internal and external resources and demonstrate ability to communicate effectively with people at all levels, from individual contributor to executive leadership. * Highly effective communication skills - writing and speaking skills through written proposals, meeting facilitation, and oral presentations. * Ability to work well in a fast paced, team environment, taking a leadership role and dealing with ambiguity effectively. Roles and Responsibilities * Project Team Leadership: * Actively support recruitment, retention, and career development of all personnel with all vendors, contractors, or other out-sourced services. * Actively drive the Construction Safety Review Board's goals of ensuring a safe work environment on all projects. * Project Requestor Responsibilities: To initiate/request a project, the requestor is responsible for submitting a form to the Finance Partner to add a new project line item in Smartsheets Project Tracker. The project owner may also send an email to the Finance Partner with the list of inputs as follows: * Facilities Project Owner Responsibilities: The Project Owner is responsible for all aspects of the projects, including aligning with and steering all vendors, consultants, and contractors. * Accountable for all facility deliverables. * Owns Project Budget for facilities or oversees ownership. * Oversees Facilities Project Manager. * Gives input for budget and forecast. * Meet regularly with the Project Manager to coordinate capital forecasts, schedules, budgets and scopes of work. * Initial meeting with Intuitive DRI (Directly Responsible Individual) that is the highest-level signature authority required for the project. * Facilitate the development, and documentation of clear project requirements with all project team members, affected customer business units, and other stakeholders. Develop clear project definition based on some of the following drivers: * Headcount Growth: The department has identified and demonstrated space and/or cubical/workstation/lab shortages related to headcount growth and campus planning. * Facility Standards and Compliance: Building codes, compliance issues, safety to assets and/or personnel, health, and environmental issues have been identified that would not be resolved through normal operations. * Revenue/Cost Savings Based Initiatives: Intuitive has identified and demonstrated space shortages related to future revenue/cost savings initiatives. Project documentation must include financial analysis and/or sound business plans. Small expansion of capacity for existing production may be exempt from analysis. * Effective Use of Capital and Operating Resources: Intuitive personal have identified and demonstrated that the existing facilities or fixtures are insufficient, dysfunctional, and no longer cost effective to operate and maintain. Repair vs replace cost analysis is recommended. * Operational/Functionality/Space Utilization Impact: The project improves operational efficiencies or space functionality through consolidation, reorganization, and/or relocation and supports sustainability. * Develop Project Charter including project impacts, justification of the project, return on investment, objectives and deliverables including measurable outcomes. * Documented alignment of project requirements with Intuitive standards. Intuitive Engineering and the project engineers will develop and provide the Basis of Design (BOD) assumptions. * Identify and/or develop project concept, design criteria, project performance characteristics. * Perform site investigation and assessment as necessary. * Prepare comprehensive and complete statements of work. Provide initial budgets and estimates on requested work. * Maintain current records of project costs. * Provide current project status updates as requested by DRI. * Complete preliminary risk assessment. * Develop initial scope of work. * Identify Stakeholders. * Develop initial high-level schedule and project milestones. * Create initial ROM cost estimate. * If work occurs in a Lease Building, Contractor must facilitate receiving approval access through Intuitive Real Estate. * Construction Project Manager: Assigned to the project by the Project Owner. This role may be outsourced. * The Project Owner is accountable for the project from initiation through warranty. * The Project Manager is responsible for all aspects of the scope, schedule and budget while delivering the project within the requirements of Intuitive's various business units. The Project Managers working for Intuitive handle the procedures required by EH&S, Legal, Security, Finance, Operations, ISI Engineering, and Indirect Materials: * Meet the requestor and Project Owner to gather input within two days of the original initiation of the project. * Perform a field walk-through to confirm any assumptions and initiate the project. * Use the budget form that fits the type of project to develop the first-pass budget. * Budget Template includes: * Small projects ($20K to $2M), that include obsolescence, replacement, relocation, lab moves, office tenant improvements, and special purpose rooms. * Lab and manufacturing projects. * Cleanrooms (CER). * Greenfield projects. * Garage and surface parking. * Use Microsoft Project to develop the first-pass schedule of the project. * Compare the schedule with the customer expectations. * Review the allotted times for design, permitting, and inspections. * Analyze potential expediting methods. * Develop an initial schedule with the major milestones until further development can occur. (See Appendix J) * Develop a written scope to be used to drive the design, schedule, and budget of the project to its original intended purpose. * Eliminate additions to the scope and budget that are not approved through the proper signature authority levels. * Eliminate delays to the project caused by unauthorized changes to the scope. * Develop the initial scope to describe the complete project in one paragraph. * Coordinate with Space Planning * Space allocation * Approve group square footages and headcounts. * Confirm work processes and functions of work groups. * Approve location in building by group. * Approve group square footages and headcounts. * Confirm work processes and functions of work groups. * Approve location in building by group. * High level budgetary estimate. * Headcount Growth - include projections and forecasts provided by the stakeholders. * Coordinate with EH&S requirements: * Obtain and review the Site Incident and Prevention Plan * Drive a Site Incident and Prevention Planning (SIPP) meeting to review potential impacts on the business. * EH&S Policies and Procedures review. * Contractor safety compliance and documentation. * Site specific safety plans. * TCIR reporting of less than 50% of industry standard. * Prevent lab and manufacturing interruptions. * Align with Legal requirements: * Master contracts must be approved by Legal and renewed every 24 months. * Lot line adjustments must be approved through the legal review. * Mechanics lien process must be followed to avoid filing of liens by subcontractors. * All purchase and sales agreements must be reviewed and approved, * NDA's and the onboarding process must be run through the Legal department. * Project owners and managers must avoid signing vendor documents that contain terms and conditions. * Work with Procurement (Indirect Materials) requirements: * Master contracts and vendor review current. * * * Purchase orders in place prior to commencing work. * Competitive bidding for all work over $100K. * RFP's must be developed for all bid work. * Align with IT requirements * Align with all IT and AV deliverables. * * * IT reports their own Project Budget for IT but the costs are included in the RCE for the whole project. Help IT deliver the project within budget. * Coordinate with IT Vendors. * Responsible for Scope, Schedule, Project Plan jointly with IT Solution Owner * Include Security requirements: * Ensure badging and background checks for all contractor personnel. * * * Escorts required in secure areas. * All projects must include requirements for badging, security desks, and video cameras. * Finance requirements: * Quarterly and monthly forecasting. * * * Open purchase requisitions and actual costs reporting in SAP. * Involved in initial and ongoing budget planning and approval * Involved in budget reporting and tracking * Involved in cost reduction efforts for facilities * Regulatory * Determine if regulatory requirement is part of the project. * * * Determine what validation process is required. * Feedback the schedule and cost impacts to the project manager. * Operations: * Prevent building system interruptions due to uncoordinated work with Operations. * * * Notify Operations of all work prior to commencing. * ISI Engineering * All connections to building systems must be reviewed prior to connection. * * * Design reviews must be held at 30/60/90% stages. * Permits must be filed with all agencies prior to commencing work. Processes to manage and improve: * * Work with Legal and Indirect Materials to improve master agreements, contracts, and purchase orders for all vendors working with Facilities. * Work with Maintenance, landscaping, and Janitorial to incorporate new construction into the schedules and work order systems. * Work with Legal and Indirect Materials to improve the mechanics lien closeout process. * Include monitoring of warranty repairs. * Work with Indirect Materials to improve RFP process for vendors and contract renewals. * Improve the Design Review process for guiding the design through construction. * Development * Improve the following processes in support of the global construction team: * Project Initiation * Design Review * Construction * Safety * Startup and Turnover * Closeout * Strive to learn from industry peers and benchmarks to improve personal skills * Learn and improve software skills in Tableau and Smartsheets * Study Intuitive's product offerings and various business units to understand the stakeholder's point of view. Improve communication methods and skills constantly.
