Job Description:
This individual will support the administrative management team
in a staff capacity by assisting with daily administrative duties
and other projects. Organize electronic and physical personnel
records while safeguarding confidential information, including
helping with payroll-related tasks and providing timecard
assistance for hourly team members. Complete projects and special
assignments in a timely manner by establishing objectives,
determining priorities, managing time, and gaining the cooperation
of others, problem-solving and making adjustments to plans. Draft,
transcribe, and type routine correspondence and documents for
approval, signature, and distribution. Answer various
administrative telephone calls and/or emails, and answer routine
questions and/or route them to appropriate team members within the
firm. Manage the HR Director's calendar, including making
appointments, setting up Zoom meetings, and prioritizing the most
sensitive matters. Organizing the HR Director's meetings, sending
reminders, and organizing catering when necessary. Provide
marketing coordination, including, conducting industry research,
assisting with administering firm client contact lists, preparing
event fliers, posting recruitment ads online, making reservations
for firm and firm client events, ordering firm business cards, and
other marketing related tasks as assigned. Provide
billing/accounting support, including, scanning, copying, and
filing statements, entering time into the firms billing software
program; and other billing/accounting related tasks as assigned.by
